 Privacy Notice 

This privacy and cookie notice explains how Business in the Community (BITC) manages your personal information. Including details such as your name, email address, home address, work address, and other data you provide to us.

BITC only collects information about you if you choose to submit it to us for the purpose of (i) joining our business community, (ii) participating in our training programs, (iii) completing surveys about your experiences with BITC, or (iv) receiving newsletters from us. You have the option to subscribe or unsubscribe from our email newsletters at any time. Scope 

This Privacy Notice sets out how we process your personal data.

This Privacy Notice applies to your use of:

http://www.bitcni.org.uk (Business in the Community Northern Ireland website) and Survey Monkey (BITC surveys and insights platform).

The Privacy Notice is delivered pursuant to the General Data Protection Regulations (GDPR) 2018
BITC is responsible for ensuring that;

(i) You are provided with accurate information on the collection and processing of your personal data;

(iii) Your personal data is securely protected;

(iv) You may access your personal data. The Privacy Notice intends to provide you with information regarding the privacy policies and practices that govern BITC’s processing of your data and the rights you are entitled to.

We want to clarify that BITC does not intend to collect or keep any information about your ethnicity, political beliefs, religious or philosophical views, trade union membership, genetic data, health data, sexual activity or orientation, or biometric data. Please do not provide us with such information.

How we obtain your personal data, including sensitive data  

Your information is collected from website forms, oral conversations between you and BITC employees, information that you subsequently provide and information that is otherwise lawfully obtained about you. We may also obtain basic information about you for business development purposes from publicly available sources such as LinkedIn and via our data provider, Cognism. (Cognism Privacy Policy)

We use the data provided by you to:  

  • Maintain and develop our relationship; 
  • Communicate with you regarding any networking events or other BITC-related community initiatives via e-mail;  
  • communicate with you regarding training or other opportunities we believe may be of interest to you (according to your membership preferences);  
  • Enhance our organisation by analysing data we collect from you and by conducting surveys and market research. 
  • We may transfer your data to our third-party affiliates that maintain our mailing lists and/or companies we hold contracts with to run our events.
How we protect your personal data, including sensitive data  

BITC has defined security and privacy controls to protect your data and to comply with applicable data protection law. BITC ensures that all our personal, infrastructure and strategic systems comply with high-standard, business-grade specifications. Despite the security measures employed by BITC, you should be aware that it is impossible to guarantee absolute security with respect to information sent through the Internet.  

Retaining your personal data 

We will hold your information on our systems for no longer than necessary unless a longer retention period is required by law, in which case we will hold your information for the period required by law. 

Who we share or disclose your personal data with, including sensitive data 

Your personal data will only be shared with third parties under this Privacy Notice and to the extent permitted by applicable law. 

BITC may share your personal data and information with service providers that send our newsletters, perform surveys and questionnaires, process information on our behalf, and host our IT servers. These companies—our vendors—are contractually bound to use your personal data that we share with them with the sole purpose of performing the services we have engaged them to provide.  

We disclose the information described above to maintain our network and facilitate connections with members across our community.  

We may also provide your information to our professional advisors for the services they provide to us and may need to disclose your information if compelled to do so by law, a regulator or during legal proceedings. 

Where your personal data is hosted, including sensitive data  

Data collected through the Website is stored on a database located within the EU/UK by a third-party service provider which manages our website. At the effective date of this Privacy Policy, our third-party service provider manages all data within the EU/UK. 

Transfer of data outside EEA 

The UK, and all countries in the European Economic Area (EEA), have similar standards of legal protection for your information. We may store your information on third-party data centres located outside the UK/EEA, where there is not a similar standard of data protection laws. If so, we will ensure that adequate protection levels are applied to your information. In particular, we contract with Salesforce to provide certain software to BITC. Salesforce may receive data from us from time to time. Under our contract, Salesforce is subject to a similar standard of data protection laws as companies hosting personal data within the UK/EEA.  More information on Salesforce compliance procedures is available on the Salesforce website

How you can access your personal data, including sensitive data  

Under data protection laws, you have a right to: 

  • request a copy of your information; 
  • ask us to make any changes to ensure that it is accurate and up to date; 
  • ask that we delete your information if we do not have a good cause to retain it; or 
  • Otherwise, object to how we use your information.

You also have a right to complain to the Information Commissioner’s Office or other appropriate regulatory authority in relation to your information held by us, and how we use it (contact details are available on the ICO website). 

Opting out of communication  

You may withdraw your consent to our use of your personal information for future marketing mailings or other non-essential purposes at any time by emailing us at Data Protection at BITC

Personal information from children  

We do not knowingly collect personal information from children. The content of the Website is not intended for, or directed to, children. If you are under 13 years of age or otherwise considered a minor under the laws of your country of residence, please do not use or access the Website at any time or in any manner. If a parent or legal guardian becomes aware that his or her child has provided us with personal information without their consent, please contact us. If we become aware that a user is a minor and has provided us with personally identifiable information without verifiable parental consent, we will delete such information from our databases. 

Links to other sites 

You may, from time to time, receive links to third-party sites whose information practices may be different from ours. Visitors should consult the other sites’ privacy policies as we have no control over information that is submitted to, or collected by, these third parties. Use of such third-party websites may be subject to a third party’s terms and conditions and is at your own risk. BITC does not control these third-party websites and shall have no responsibility in connection with any access or use by you of these sites. 

Status of Privacy Notice and Updates  

This Privacy Notice is non-contractual. We reserve the right to amend it from time to time. Amendments will be posted to the Website and, where appropriate, through e-mail notification. Unless otherwise specified, all such changes will take effect immediately upon posting to the website. 

For the avoidance of doubt, no change to the Privacy Notice will change the content of your consent that you may have granted.

Cookies and technical information 

We may use “cookies” and similar technologies (also known as tags or pixels, but which shall be referred to collectively as cookies in this notice) to collect certain information about you and your use of the Website, such as IP addresses (the Internet access or address of a computer), domain names, and the type of computer and operating system being used. We may also use cookies to identify your computer when you revisit the Website to, for example, recall your authentication information or track statistical information related to navigation throughout the Website.

Third-party cookies

We use Google Analytics cookies to help us measure how visitors are using our website and identify which of our content is having the most engagement.

We also use Google’s Marketing Platform cookies so that we can better target and measure the effectiveness of our digital marketing campaigns.

We use YouTube to provide videos on some pages of the site. YouTube sets cookies when you visit one of these pages. If you are logged into your Google Account, data about viewing our videos may be collected by YouTube. BITC does not receive or collect any data from your Google Account.

Google’s Privacy Policy

Pardot is a Marketing Automation platform provided by Salesforce. We use visitor cookies placed by Pardot to understand better visitor and prospect activities on our website, forms, and landing pages. This helps us deliver a more personalised experience for our contacts and allows us to monitor the impact of our content.

Updates to the Cookies Notice  

BITC may update its Cookie Notice from time to time. When we materially change the Cookie Notice, a prominent notice will be posted on the Website along with the revised Notice. If you disagree with the changes, you may send us an e-mail to data-protection@bitc.org.uk. To avoid doubt, no change to the Cookie Notice will change the content of your consent that you may have granted separately.
